Catalog of procedures at the Representative Office

The AOC Consortium makes available to all of us the catalog of procedures that you will find at FilexerCataleg.xls , for the Representative. This catalog of procedures has been created based on the catalog that you can find in the Model classification table for councils and regional councils (QdCAC) .

Each of us can decide whether the catalog of procedures to be used at the Representative is the catalog proposed by the AOC, or if they prefer to use their own catalog. Under no circumstances can the agency modify the catalog provided by the AOC. If one of us wants to have his own catalog, he must request it from the AOC Consortium by means of a Petition or the Representa service registration request form .

An entity with its own catalogue, can transfer its catalog to another entity, and again, the entity with the ceded catalog cannot modify it.

Share the catalog of procedures with another entity

If we have our own catalog, we can share our catalog with others.

Click on the button, and access the screen to be able to share the catalog.

In this case, we have on the left of the screen the list of entities that are using my catalog and on the right we have the list of entities to which we can share my catalog.

To share the catalog, click on the button, and the Representative asks us for confirmation of the action:

We confirm the action, and from this moment on, the chosen one will have our catalog.

Stop sharing the catalog of procedures for another entity

If we have our own catalog, we can make one of us no longer able to have our shared catalog.

Click on the button, and access the screen to be able to share the catalog.

In this case, we have on the left of the screen the list of entities that are using my catalog and on the right we have the list of entities to which we can share my catalog.

So that one of us can no longer have our shared catalog, click on the button , and the Representative will ask us to confirm the action:

We confirm the action, and from this moment on, the chosen one will no longer have our catalog.

How do I change the type of catalog of procedures?

You must send us the request for registration or modification of the service through EACAT, indicating that:

  • this is a modification
  • own catalog or standard catalog is desired

In the event that the change is from a standard catalog to a proprietary catalog, once you have been notified that the modification has already been made. You will need to set up your catalog of procedures, according to the instructions you will find in the section "Adding families and procedures to the catalog of procedures via file"

Add a family to the catalog of procedures

If we have our own catalog, we can add a family to the catalog.

Click on the button, and access the screen to register a new family:

The Internal Code and Denomination fields are mandatory fields. The Internal Code field is for identifying the family with a code and the Name field is for naming the new family.

Once the 2 fields have been informed, click a to save the new family in the institution's own catalog.

Add a procedure to the catalog of procedures

If we have our own catalog, we can add a new procedure to a catalog family.

Click on the button , and access the screen to register a new family:

The fields Family , Internal code and Name are mandatory fields.

First, it is necessary to select which family we want to incorporate the procedure we want to register. The Internal Code field is for identifying the procedure with an internal code and the Name field is for naming the new procedure. The Description field allows you to enter information about the procedure.

Maximum number of characters allowed for each field:

  • Description: 249 characters.

Once the fields have been entered, click a to save the new family in the institution's own catalog.

Add families and procedures to the catalog of procedures via file

If we have our own catalog, we can add families and procedures using a file in CSV format.

Click on the button, and access the screen to load families and procedures from a file, of type .CSV and with a specific format .

It will be necessary to incorporate 2 files:

  • File of families
  • File of procedures

Once the 2 files have been incorporated, click on , so that Representa incorporates the families and procedures that are in the files into the catalog of procedures.

How to delete a procedure?

If the procedure, at some point, has had any representation linked to it, that is to say, there is some representation to procedures, linked to that procedure, it cannot be deleted, given that perhaps some administration needs to verify the existence of that representation in some specific moment in its life cycle. In this case, what can be done is to set the procedure as Inactive. In this way, new representations cannot be created for this procedure, but representations can be consulted (Verification of procedures between two people).

How to edit a procedure?

We must access Catalog of Procedures > Modify and there we can edit the different fields, bearing in mind, however, that they cannot have more than 250 characters.

How to consult the representations linked to a procedure?

We must access Catalog of Procedures > Detail> See representations linked to the procedure.

Only the active representations linked to the procedure will be seen.
